Job Description

POSITION PURPOSE:
The Executive Assistant & Administration Coordinator will support the Chief Marketing Officer (CMO) to deliver on the Richmond Football Club’s (RFC) purpose and strategic plans. The role will undertake support service functions that allow the CMO to focus their efforts on their team and strategic matters. 

The position is responsible for the delivery of a timely, efficient, and effective high-level executive support, information co-ordination and confidential secretarial support services. This role will work across many aspects of the Club, including Bachar Houli Foundation, Korin Gamadji Institute (KGI), and the Melbourne Indigenous Transition School (MITS).

The Coordinator will administer the governance function for Club Subsidiaries, Aligned Leisure and Bachar Houli Foundation 

The position will lead the administration of RFC Office.
 

KEY RESPONSIBILITIES: 

  1. Diary & Communication Management: Manage the CMO’s calendar, appointments, and priorities. Handle correspondence, presentations, and documents, and maintain accurate contact lists and databases. Ensure timely follow-up on tasks.
  2. Invoice Management: Process invoices and credit card expenses for the CMO.
  3. Travel Coordination: Organise travel logistics, including accommodations, transport, and itineraries for the CMO and department staff.
  4. Board & Subcommittee Administration: Support meetings by scheduling, preparing agendas, taking minutes, and following up on action items. Support the Board Management System to ensure effective governance and secure decision-making.
  5. Technology Utilisation: Implement digital tools to streamline workflows, enhance decision-making, and ensure data security and platform integrity.
  6. Relationship Management: Liaise between the CMO and stakeholders, ensuring accurate database management.
  7. RFC Office Administration: Coordinate office bookings, suppliers, deliveries, and communication with the landlord.
  8. General Administration: Provide support to the Marketing department, collaborate with other Club departments, and organise catering and functions as needed.

 

 

Desired Skills and Experience

1.    Three years executive assistant experience. 
2.    Demonstrated experience and understanding of working in an executive level environment.
3.    Ability to represent executive with tact and discretion at all levels and professional skills to handle sensitive or difficult situations diplomatically, and with a high level of confidentiality.
4.    High level of organisational, administrative and time management skills and demonstrated ability to effectively manage varied and multiple projects with conflicting demands to agreed standards and timelines and exercise initiative and discretion.
5.    Software experience with the Microsoft 365 suite of products, especially Outlook and SharePoint.
6.    Proven problem-solving ability.
7.    Qualification in Sports Management or Business Administration highly desirable but not essential.
