Executive Assistant to the CEO (Parental Leave)

ABOUT THE ROLE:

      The Executive Assistant (EA) to the CEO (parental leave contract) is a highly skilled and proactive individual responsible for supporting the CEO’s executive and administrative functions. This includes managing communications, calendars, travel arrangements, and Board-related administration, focusing on enhancing efficiency through technology. The EA will ensure the highest standards of confidentiality and professional conduct while autonomously managing day-to-day activities to ensure the smooth operation of the CEO’s office. 

     This is an exciting opportunity to join the Richmond Football Club in a a full-time fixed term capacity, providing parental leave cover through to September 2027. 

KEY RESPONSIBILITIES:

  1. Diary & Communication Management: Manage the CEO’s calendar and appointments, ensuring optimal scheduling and prioritisation. Prepare and edit correspondence, communications, presentations and other documents, including for the Board as required. Maintain accurate and valuable contact lists and databases for the CEO and Board.
  2. Travel Coordination: Organize travel logistics, including accommodations, transport, and itineraries for the CEO. This will occasionally extend to Directors and members of the Senior Management Team.
  3. To-Do List & Task Management: Monitor and manage the CEO’s daily tasks and priorities, ensuring timely follow-up on deliverables.
  4. Board & Subcommittee Administration: Coordinate Board and Subcommittee meetings, including scheduling, work plan, agenda preparation, minute-taking, and follow-up on action items. Coordinate the Board Management System to support good governance, effective decision-making, high levels of security, and efficient use of directors' time.
  5. Technology Utilisation: Implement and manage digital tools to streamline workflows, improve decision-making processes, and enhance overall efficiency within the executive office. Ensure data integrity and security of platforms and databases.
  6. VIP Liaison for Events: Serve as a primary contact for Club VIPs on match day and event ticketing, ensuring a smooth and professional experience for all stakeholders. VIPs include Directors, Hall of Fame members, AFL Commissioners, AFL Executives, AFL Club Representatives, and Government Representatives.
  7. Relationship Management: Act as a liaison between the CEO and internal/external stakeholders. Manage information in key databases for accuracy and efficacy.
  8. Confidentiality & Discretion: Maintain the utmost confidentiality of sensitive information and exercise sound judgment in all interactions and decisions.
  9. Autonomous Problem Solving: Anticipate issues, identify solutions, and proactively resolve matters without direct supervision.

WHAT WE ARE LOOKING FOR:

  1. Tertiary qualifications and/or proven experience as an Executive Assistant or in a similar executive-level office administrative role.
  2. Strong organisational and problem-solving skills, with the ability to manage multiple priorities and tasks.
  3. Advanced proficiency in Microsoft 365, SharePoint and digital communication tools.
  4. Excellent written and verbal communication skills.
  5. Demonstrated expertise in handling high-pressure situations with tact and discretion.
  6. Experience working with senior management and liaising with VIPs and/or key stakeholders.
  7. Proficiency in working autonomously and demonstrated experience in anticipating needs and proactively addressing issues.
